Set data retention and file sharing settings

This page walks through where you can adjust data retention and file sharing settings for an Enterprise Plan organization and then explains what these settings do. Note that you must be an Organization Owner or Admin under your Enterprise Plan to adjust these settings.

Note: The settings described on this page only apply to Enterprise Plans that have turned on Flippr Workspace, which enables file storage and communication features. Enterprise Plan owners must reach out to support@flippr.ai to enable it. The default setting is off, and this cannot be changed in the application. See this page for more info.

Where you can adjust data retention settings for your organization

Step 1: go to Account Settings under your profile dropdown
Step 2: Click on the setting you wish to change

Explanation of data retention and file sharing settings

1: Change data retention policy

This first option lets you change what happens when members of your organization delete documents from their accounts. By default, items moved to the trash folder will get deleted after 30 days, and items deleted from the trash folder are permanently deleted.

If you choose the third option to store data "as long as enterprise maintains an active account," then items deleted from the trash folder are still available to the Organization Admins and Owners. While organization members can no longer access these items, they are still retained in the organization, often for compliance purposes. If you are an Organization Admin or Owner, you can access deleted documents from the Projects page under Account Settings.

Enable Downloads?

Turning off the Enable Downloads toggle will prevent documents created under your organization from being downloaded in browser. Instead, users will be prompted to have files emailed to them. The project author always gets CC'd on these emails; this is a security feature that cannot be turned off, ensuring that company documents can never leave existing compliance systems. Users will see a screen similar to the below if Enable Downloads is turned off and they try to download a document:

Restrict Sharing to Whitelisted Domains

This allows you to restrict sharing to whitelisted domains, such that organization documents can only be shared to email addresses with specified domain names. This allows companies to ensure that documents can only be shared internally via Flippr.

3: Email disclaimer

This allows you to set an email disclaimer, or a hyperlink to your email disclaimer, that will be included at the bottom of all emails that contain attachments sent from Flippr.

4: Mandatory email summaries

This modal allows you to ensure key Flippr activity, including changes to document permissions and comments, is logged over company email. Turn this on for Project Authors to receive these email notifications.
